Path: Settings > Lead > Lead Assignment
The following options are standard across the real estate industry for a brokerage:
Lead Signs Up on an Agent Site
- Lead is automatically assigned to that agent
Lead comes to the Parent Site with an "Agent code" (example: http://www.yourcompanydomainhere.com/?agent=12345)
- Lead is automatically assigned to agent with ID 12345. This is useful for people who want to create "URLs" and use their profile page as a landing page. They can have their own domain but not have an agent site.
Lead chooses an agent from the "Are you currently working with an agent dropdown"
- Lead is assigned to the agent they choose, no matter what page they are on, including exclusive properties
Lead signs up on an MLS Exclusive Listing AND company has NOT checked "Skip Auto Exclusive Property Lead Assignment?" [in Settings > Configuration > Lead > Sales section

- Lead is assigned to the exclusive listing agent.
The below options are common alternatives for non-exclusive listings and other inquiries:
1. Company has chosen a "Default Agent for Lead Assignment"
- Lead is assigned to that agent
2. Company has turned on "Click to Claim Leads Enabled?"
- We query for the set of agents who's distribution criteria match the lead's criteria and send the claim email to just those agents.
- If we can not locate any agents matching the criteria, AND the company has NOT enabled "Fallback To Default Agent?"
- The claim email goes to all agents who have "Click to Claim" enabled.
- First agent to click the claim link in the email gets the lead assigned to them.
- If no agent clicks the link, the lead stays in the Unassigned Leads pool
- If Company has turned on "Fallback To Default Agent?", and the Lead does not match distribution criteria, the Lead is assigned to the Company Default Agent.
3. Company has turned on "Advanced Lead Distribution Enabled?
- We query for the set of agents who's distribution criteria matches the lead's criteria and pick a random agent and assign the lead to that agent.
- If no agents are found that match the lead's criteria:
- AND if auto assignment is enabled ("Auto Assign Leads?") fall into round robin for auto assignment
- OR if auto assignment is disabled, the lead stays in the Unassigned Leads pool
- OR if Company has turned on "Fallback To Default Agent?", the Lead is assigned to the Company Default Agent.
- AND if auto assignment is enabled ("Auto Assign Leads?") fall into round robin for auto assignment
4. Company has turned on "Auto Assign Leads?"
- We grab the next agent in the round robin queue (based on ID ascending order) that has "In the Auto Assignment Queue?" enabled on their agent profile and assign the lead to that agent.
- All other leads fall into the Unassigned Leads pool.
- Brokers and Admins have access to this Unassigned pool to assign leads to agents or offices.
- If they assign the lead to an Office without an Agent then the Office Manager has access to all leads assigned to their Office(s) and can assign the lead to any agent (with lead management) within their respective Office(s).
- All other leads fall into the Unassigned Leads pool.
5. If the Company has enabled "Let Agents Claim Unassigned Leads?
- All agents with a Lead Management account now have access to the Unassigned Leads pool and can claim any lead that does not have an agent already (hence unassigned)
6. Company has turned on "Agent's Required to Accept Leads?"
- AND has "Lead Acceptance - Exclusive Agent Time Limit" enabled
- If the lead comes in on a brokerage exclusive listing, the assigned listing agent has set amount of time to Accept the Lead.
- AND/OR has "Lead Acceptance - Non-Exclusive Agent Time Limit"
- If the lead comes in on a non-exclusive listing, the assigned agent has set amount of time to Accept the Lead.
- If the agent does not accept in time, the lead will be re-assigned and cycle through remaining agents until accepted.
7. Company has turned on "Apply Agent Acceptance Only To Auto-Assigned Leads"
- Agents will only be required to accept leads that are assigned via 'Auto-Assign' or 'Advanced Lead Distribution'
