Community Contacts

Community Contacts in PBGO
In PBGO we added the ability for the Brokerage to create Community Contacts that can be shared with everyone in their organization.
- Allow Community Contact
- Only Brokers or Admins can turn on the Community Contact functionality in Settings
- Create a Community Contact
- Only Brokers and Admin can Create, Edit, or Delete
- Brokerage owns the Community Contacts
- Filter, View, and Contact Community Contacts
- Everyone within the Brokerage can view, filter, call, text and email these contacts
- Community Contacts will display in your normal contact lists
- Bulk messaging (email campaigns, eBlasts, or texting a group) will not be allowed
- Agents can eBlast Community Contacts with a Contact Type of Broker or Agent only
Available for
All Propertybase GO Brokers/Admins/Agents that are on the Next Gen platform will have access to Community Contacts
How to Turn on Community Contacts
- Settings > Configuration > Leads > Lead Assignment
Check Allow Community Contacts
How to Bulk Convert Existing Contacts to Community Contacts

- Contact tab
- Check the Contact you would like to move
- Click More Actions
- Select Convert to Community Contact

How to Create a Community Contact
- Contact tab > Create, dropdown caret
- Select Community Contact
- Primary Information
- Complete general information: Name, Phone, Email, Preferred Contact Method
- Add the Contact Type: Appraiser, Contractor, Handyman, Inspector, Mortgage Broker, Moving Company, Pest Control, Roofer, Title Company, Etc.
- Company Info: Company Name, Job Title
- Brokerage can add additional custom Contact Types
- Settings > Configuration > Lead > Lead Types
- Click Add New Types
- Add Type Name (may want to Uncheck the Sign Up Type)
- Use Arrows to place Type Name where you want it to appear in the list
- Contact Information
- Address info is optional
- Settings > Configuration > Lead > Lead Types
- Other Details
- Add Comments, Complete additional Custom Fields & Company Tags
- These fields are optional
- Create Contact
- Once you entered all the contact information, click Create Contact
- By clicking Create Contact, your Community Contact will be live for everyone in your Brokerage
- Only Brokers and Admin can Create/Edit/Delete Community Contacts
- How to Filter by Community Contacts
- Contacts > Filter > Community Contacts
- If you would like to drill down into a more specific Type of Contact, select one or more of the applicable type options.

- Contacts > Filter > Community Contacts
Filter by Community ContactFilter by additional Types
- View filtered Community Contacts on the Contact Index Page
- Type will list out the category of the Community Contacts
- Assignment will display that these are Community Contact and will include a Community Contact icon
- The Star icon will allow you to Favorite or Unfavorite different Community Contacts that you may use often.
- Community Contacts will display in your regular contacts
- Icons for Quick Actions on the Contact Index Page
- Call from Cell Phone
- Call from Office Phone
- Email Contact
- Edit Contact – only available to Brokers/Admin
- Delete Contact – only available to Brokers/Admin
- Open Contact Page
- From this page you will be able to Call, Text, Email, add Notes, or Favorite this contact
- Broker/Admin will be able to Edit Contact from this page
- Bulk messaging (email campaigns, eBlasts, or texing a group) will not be allowed
- Agents can eBlast Community Contacts with a Contact Type of Broker or Agent only
- Contact Quick Actions
- Add Notes, Email, Text or Call from the Quick Actions
